Receptionist

Job Summary


Execute and maintain front office reception duties to highest quality standards. Organized and ability to multitask under pressure. Positive and personable with excellent communication skills. Professional appearance. Perform all general office functions and administrative support to internal staff. Work well with others.


This position is based at Headquarter office, however, some travel to off-site locations as required. This position requires the incumbent to hold a valid, unexpired driver license at all times in order to perform the essential functions of the job.


Primary Duties and Responsibilities


  • Greet/Welcome guests in a positive and professional manner; announce and direct guests accordingly.
  • Maintain phone coverage; answer, screen or forward to the correct destination.
  • Manage inquiries from callers or guests by providing general information.
  • Manage security; maintain visitor/guest log book, issuing/collecting visitor badges.
  • Manage guest parking validations and requests to replenish inventory.
  • Pickup, receive, sort and distribute daily incoming mail & packages
  • Handle office shipping/courier requests; FedEx, UPS, USPS, Mach5, etc., and maintain delivery logbook.
  • Manage calendars for conference rooms; off-site bookings and coordinate meetings with Office Administrator, as needed.
  • Handle catering, setup and cleanup for boardroom meetings as needed.
  • Oversee office equipment; postage machine, copiers, scanner, etc.
  • Daily housekeeping for the lobby area/front boardroom and small kitchen.
  • Submit building requests for service, as needed
  • Stock assigned kitchens daily; maintain inventory; snacks, beverages, fruit, paper supplies, etc.
  • Process invoices, service entry sheets, and misc. request via SAP ERP system.
  • Assist with various office tasks as needed; mail merges/distributions, business card scanning, filing, general administrative and clerical support, etc.
  • Maintains Fire Warden program; certifications, meetings, etc., building management.
  • Maintain a safe and clean reception area.
  • Other duties as assigned and deemed necessary by management


Education, Certification, and Experience

Minimum Education Required: High School Diploma

Minimum Experience Required: 3+ years of Receptionist & Administration Assistance experience


Preferred Education: Some college – Upper Level Coursework

Preferred Experience: 5+ years of mid-level Administrative Assistant experience


Required Knowledge/Skills/Abilities

Minimum Required: Word, Excel, PowerPoint and Outlook

Preferred Level: Word, Excel, PowerPoint, Adobe, SAP and Outlook (excellent);


Work Environment

This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers/fax, filing cabinets, etc.


Physical Demands

The physical demands described here are representative of those that must be met by an incumbent to successfully perform the essential functions of this job.

This is primarily a sedentary role; however, the incumbent must be able to stand and/or sit continuously to perform all essential job functions for a full shift.

  • Ability to lift up to 20 lbs. as required in order to lift files, boxes and office equipment as necessary.
  • Ability to lift files, open filing cabinets and bending, standing on a stool, or climbing as necessary to perform these functions.
  • While performing the duties of this role, the incumbent may be required to talk or hear.
  • The incumbent is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
  • Ability to drive to other Company work locations as required.
  • Ability to move throughout all areas of each office/site location and facilities.

Ensure that HSE concerns are given priority in all activities completed within their area of responsibility. Implement routine inspections to ensure safe operating conditions.
