Position Summary
As a clinical assistant and receptionist working at the front desk receptionist/call center and in clinic you're responsible for a multitude of tasks that relate to patient care and customer service. We are a comprehensive eye care medical practice serving multiple communities in Oregon. This entry-level position serves as the first point of contact for our patients and plays a vital role in ensuring smooth daily operations and exceptional patient experience.
Key Responsibilities
Patient Interaction & Customer Service:
- Greet patients as they enter the clinic or over the telephone in a professional and kind manner
- Prioritize customer service and patient care in all interactions
- Check in patients upon arrival, ensuring all information is current
- Check out patients after appointments and schedule follow-up visits
- Manage patient flow and communicate wait times
Phone and Communication Management:
- Answer and triage incoming calls from patients, other medical offices, and providers
- Return patient phone calls and messages in a timely manner
- Handle patient inquiries with courtesy and accuracy
Schedule Management:
- Schedule, reschedule, or cancel patient appointments
- Monitor doctors/providers' schedules to ensure schedules are filled appropriately
- Review daily schedules and address any alerts or issues
- Confirm upcoming appointments
Administrative Tasks:
- Prepare new and established patient appointment paperwork
- Take copayments and other patient payments for retail items
- Verify patient insurance information (preferred skill)
- Update patient demographic and contact information
- Ensure other daily assigned tasks are complete
- Process paperwork and forms efficiently
Patient Care Tasks:
- Learn to assist doctors in caring for patients
Required Qualifications
Education & Experience:
- High school diploma or GED required
- Experience with computer systems required, including web-based applications and Microsoft Office applications (Outlook, Word, Excel, PowerPoint, SharePoint, or Access)
- Typing skills of 50+ WPM

Preferred Qualifications
- At least one year of experience in optometry or ophthalmology, either as a Clinical Assistant or Receptionist
- Experience working with practice management and medical record software
- Insurance and benefits background is a plus
