Receptionist | Emirati Talent

Role Purpose

Serve as the primary point of contact for visitors and callers on the Floor assigned, ensuring a professional, welcoming, and well-organized front office experience. The role is responsible for the smooth day-to-day operations of the floor, supporting meetings and events, and maintaining high service standards. This customer-facing position requires strong organizational skills, professionalism, and the ability to respond effectively to operational needs and emergency situations while optimizing office operations.


Key Responsibilities & Accountabilities

Reception & Customer Experience

  • Maintain a professional and presentable reception, front, and back office areas at all times in line with Majid Al Futtaim standards.
  • Welcome, register, and assist visitors and guests, ensuring they are directed to the appropriate stakeholders.
  • Manage incoming calls, route them accurately, record messages, and ensure timely follow-ups.
  • Act as the main point of contact for all visitor, caller, and general inquiries on the 3rd floor.


Office & Floor Management

  • Oversee and maintain office assets including furniture, plants, equipment, and electronics.
  • Monitor cleanliness, maintenance, and overall office standards, escalating concerns to the relevant teams or line manager.
  • Provide ad-hoc operational support across all three floors as required.
  • Support floor-related initiatives such as onboarding new joiners and assisting long-term agents.


Meetings & Events Coordination

  • Manage and maintain Senior Management meeting calendars with accuracy and efficiency.
  • Coordinate meeting room bookings to ensure optimal space utilization.
  • Work closely with Office Assistants to ensure meeting rooms are consistently clean, organized, and ready for use.
  • Provide logistical and operational support for internal programs and events, including VIP and Board meetings, workshops, internal celebrations, and employee engagement activities.


Administrative & Operational Support

  • Deliver clerical, administrative, and project-based support, including:
  • Travel coordination and scheduling
  • Meeting and corporate event arrangements
  • Handling information requests
  • Preparing reports, documentation, and correspondence
  • Managing personal expense claims
  • Liaising with stakeholders across multiple management levels
  • Manage incoming and outgoing mail and courier services.
  • Perform additional administrative duties as assigned by the Line Manager.


Facilities, Inventory & Vendor Management

  • Ensure service delivery standards are met, including pest control, AC servicing, deep cleaning, and general facilities upkeep.
  • Manage inventory for pantry supplies, stationery, meeting rooms, and kitchen consumables across the Hub and Office.
  • Track usage and raise timely purchase requests to prevent stock shortages.
  • Maintain accurate asset records for furniture, equipment, and electronics across office, mall, and warehouse locations.
  • Raise and track purchase orders, monitor expenses, and ensure compliance with approved budgets.


People & Compliance

  • Supervise the daily activities of the administrative team, including Office Assistants.
  • Ensure compliance with Majid Al Futtaim’s Code of Conduct, departmental guidelines, and People and Organization policies.
  • Consistently role-model and promote Majid Al Futtaim values in all interactions and responsibilities.
