Overview
We are looking to appoint an experienced and enthusiastic Receptionist & Parent Liaison Officer for Regent International School.
Responsibilities
- Answer, screen, and forward incoming phone calls while providing basic information when needed
- Provide office support services to ensure efficiency and effectiveness within the School
- Liaise, communicate, and nurture enrolled family relationships in line with the Lifecycle of School Engagement
- Maintain open lines of communication with existing parents to address concerns, complaints and compliments, escalating to relevant SLT members when necessary and scheduling touch base meetings as required
- Coordinate parent/community events to engage parents in school activities and celebrations
- Assist in the Induction process via welcome packs and regular touch base calls
- Act as first point of contact for parental complaints, monitor, follow up and escalate concerns as required
- Be versed in rules and regulations of the Ministry of Education and KHDA
- Attend weekly FOSS/FRISS meetings to identify queries, concerns and conduct regular workshops and intervention sessions
- Monitor, screen and escalate all complaints
- Handle enquiries, process requests and log information for walk-in inquiries onto the CRM
- Notify colleagues of visitor arrivals and coordinate with Admissions, SLT, etc.
- Welcome and engage with prospective parents and visitors, addressing their needs (e.g., item or food drop-off, early pickup, lateness)
- Filter and redirect inquiries to appropriate personnel regarding academic and operational policies; communicate on matters including age-appropriate year-group placement, National Curriculum for England, options, KS4 & 5 Pathways, Tuition Fees, Scholarships, Discounts, Complaints, COVID HSE, Medical, Maintenance, Bus, Non-English Speakers & Special Interest Groups, and related events
- Physically ushering new families to their next engagement in Admissions, Induction and Departure processes
- Coordinate Existing Student Transitions with relevant Phases
- Support KHDA registrations and procure required documentation
- Assist Admissions Team with back-end data entry into CRM/SIMS/VLE and data entry from digital forms
- Record keeping and compliance - update registers for student absences and related approvals
- Conduct telephone and email campaigns and surveys with existing families; assist in marketing/communication strategies for prospective parents
- Alert Head of Phase / Principal to actions on families with potential withdrawal intentions
- Support marketing using digital forms to update Dubai Schools Market data
- Conduct Family Exit Interviews via initial meeting/phone call with a parent
- Receive and sort daily mail, deliveries and courier
- Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges)
- Update appointment calendars and schedule meetings
Job Specifications / Qualifications
- Bachelor's degree in any discipline
- Bi-lingual candidates with the ability to speak Russian or an additional language will be an advantage
- Excellent customer service, negotiation skills and a flair for numbers
