Receptionist/Administrative Assistant

Duties

  • Greet visitors and clients warmly, providing excellent customer service and ensuring a positive first impression
  • Manage multi-line phone systems, screen calls, and direct inquiries to appropriate staff members
  • Handle front desk operations including scheduling appointments, maintaining visitor logs, and managing mail distribution
  • Perform data entry, filing, and document proofreading to maintain accurate records and organized files
  • Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for daily administrative tasks
  • Assist with calendar management and scheduling for team members or executives
  • Support bookkeeping activities including basic invoicing and expense tracking
  • Provide general clerical support such as photocopying, faxing, and organizing office supplies
  • Maintain a professional appearance of the reception area and ensure office equipment is functional

Requirements

  • Proven experience in office administration or clerical roles within a professional environment
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Exceptional phone etiquette and customer service skills; experience with multi-line phone systems preferred
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience with QuickBooks or bookkeeping is a plus
  • Knowledge of medical or dental receptionist duties is advantageous but not required
  • Strong attention to detail with proofreading capabilities and accuracy in data entry
  • Ability to manage time efficiently in a fast-paced setting while maintaining professionalism
