We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Responsibilities
- Greet visitors and clients warmly, providing excellent customer service and directing them appropriately
- Manage multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
- Handle front desk duties including scheduling appointments, maintaining visitor logs, and managing incoming correspondence
- Maintain accuracy and confidentiality of patient records (HIPAA compliance)
- Assist patients with forms, portal access, and general questions
- Check patients in and out; verify insurance and collect copayments
- Coordinate communication between office staff and patients
- Handle incoming/outgoing mail, faxes, and electronic messages
- Maintain a clean and organized front desk, lobby area and common areas
- Perform general administrative tasks (filing, scanning, data entry)
- Perform data entry tasks with accuracy using Microsoft Office, Google Workspace, and other office software
- Organize and maintain filing systems, both physical and digital, ensuring documents are easily accessible
- Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping
- Assist with clerical duties including proofreading documents, preparing reports, and managing inventory of office supplies
- Qualifications
- High school diploma or equivalent required
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Electronic Medical Records (EMRs)
- Experience with multi-line phone systems and excellent phone etiquette skills
- Knowledge in medical blling and insurance verification is a plus
- Prior clerical or administrative experience in a professional setting preferred
- Strong time management skills with the ability to prioritize tasks efficiently
- Knowledge of data entry procedures, filing systems, and basic bookkeeping
- Excellent customer service skills with a friendly demeanor and professional appearance
