Receptionist/Administrative Assistant

Job Summary
We are seeking an energetic and highly organized Receptionist/Administrative Assistant to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming and professional environment. Your multitasking skills and attention to detail will support office operations, manage schedules, handle correspondence, and provide exceptional customer service. Duties

  • Greet visitors warmly, assist with check-in procedures, and direct them appropriately
  • Answer and manage multiple lines on multi-line phone systems with professionalism and courtesy
  • Maintain a clean, organized front desk area and ensure all office supplies are stocked
  • Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and proofreading tasks to support administrative functions
  • Handle incoming correspondence via email, phone, and mail with excellent phone etiquette and customer support skills
  • Support bookkeeping activities using QuickBooks or similar accounting software as needed
  • Assist with office management duties including organizing documents, managing office supplies, and supporting clerical tasks such as typing and data entry

Skills

  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace for document creation, communication, and scheduling
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Excellent communication skills in both English and bilingual (if applicable), demonstrating clear phone etiquette and customer service excellence
  • Experience with office management systems including multi-line phone systems, filing, data entry, and calendar management
  • Knowledge of clerical procedures such as proofreading, document formatting, and record keeping
  • Familiarity with medical or dental receptionist duties is a plus but not required; experience in customer support or personal assistant roles is highly valued
  • Computer literacy with the ability to adapt quickly to new software applications; previous experience with bookkeeping software like QuickBooks is advantageous
  • Strong interpersonal skills with the ability to handle sensitive information discreetly while providing exceptional customer support
