Responsibilities
- Greet visitors, clients, and vendors warmly, providing exceptional customer service and ensuring they feel welcomed.
- Manage multi-line phone systems efficiently, directing calls to appropriate departments with professionalism and courtesy.
- Maintain the front desk area, ensuring it is tidy, organized, and professional at all times.
- Handle data entry tasks accurately using an electronic health record, and other office software to update medical records, insurance and verification, and scheduling.
- Support calendar management by scheduling appointments, meetings, and coordinating events seamlessly.
- Perform clerical duties such as filing, proofreading documents, managing correspondence, and maintaining front office supplies inventory.
- Provide administrative support including copying, scanning, faxing, and preparing reports as needed.
- Ensure excellent phone etiquette when answering inquiries or providing customer support via phone or email.
- Support office management activities by organizing files, managing incoming mail, and supporting team members with personal assistant tasks when required.
Qualifications
- Proven experience in office administration or clerical roles with a strong background in customer service.
- Proficiency in computer skills.
- Experience with multi-line phone systems and front desk operations preferred.
- Bilingual abilities are a plus to assist diverse client needs effectively.
- Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively.
- Excellent phone etiquette and communication skills to provide outstanding customer support.
- Previous experience in medical or dental receptionist roles is required.
