Receptionist/Administrative Assistant

Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! In this vital role, you will be the first point of contact for visitors and callers, providing exceptional customer service while managing a variety of administrative tasks. Your energetic approach and attention to detail will ensure smooth daily operations, support office management functions, and create a welcoming environment for clients and staff alike. Responsibilities

  • Greet visitors warmly, answer multi-line phone systems, and direct calls efficiently using proper phone etiquette
  • Manage front desk operations, including scheduling appointments and maintaining visitor logs
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize Microsoft Office Suite and Google Workspace tools for correspondence, reports, and calendar management
  • Support office management tasks such as supply inventory, mail handling, and basic bookkeeping using Jobber or similar software
  • Assist with customer support by addressing inquiries promptly and professionally
  • Maintain cleanliness and organization of the office area to uphold a professional environment

Requirements

  • Proven office experience with strong clerical skills and familiarity with front desk procedures
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar)
  • Demonstrated organizational skills with the ability to multitask effectively in a busy environment
  • Strong typing skills with attention to detail for data entry and proofreading tasks
  • Experience handling multi-line phone systems and practicing excellent phone etiquette
  • Bilingual abilities are highly preferred to serve diverse client needs
  • Prior experience as a receptionist or personal assistant is a plus but not required
  • Knowledge of office management practices, customer service principles, and basic bookkeeping is advantageous
