Shaheen & Gordon, P.A., Attorneys at Law, is currently looking for a full-time Receptionist/Administrative Assistant to join our team in our Keene, NH office. The hours for this position are 8:00am-5:00pm Monday – Friday. The ideal candidate is a professional with an upbeat personality, and a willingness to assist our clients in a pleasant manner.

Duties include, but not limited to:

  • Answering, screening, and transferring incoming calls on a multiline phone system
  • Handling intake calls as back up to our intake specialist team
  • Greeting and welcoming clients as they arrive
  • Scheduling meetings/appointments in Outlook calendar
  • Handling monetary transactions, such as cash, checks, and credit card payments from clients
  • Retrieving mail at the Keene Post Office
  • Collection of mail at the Post Office, opening/distributing and delivering mail to the Post Office at the end of the day
  • Logging supply inventory and creating supply orders
  • Opening and closing of files, both electronic and physical, under the direction of others
  • Maintain all conference rooms, copy areas, and kitchen to be sure clean and stocked with supplies
  • Hand deliveries to courts and various other agencies
  • Assisting in other related administrative duties as assigned

Requirements:

  • Minimum of 1 2 years’ experience in a law firm or office environment
  • Must be able to handle a multiline phone system
  • Strong computer skills in Microsoft Office Suite
  • Attention to detail and proofreading skills
  • Must have excellent administrative skills with the ability to multitask under pressure and prioritize
  • Must have excellent interpersonal and organizational skills
  • Must be able to lift, carry, and position objects weighing up to 20 pounds
  • Must be able to ascend/descend stairs to access different floors of the building on a regular basis
  • Must have reliable transportation
