Receptionist/Administrative Assistant

Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This energetic role is vital in creating a welcoming environment for visitors and clients while ensuring smooth administrative operations. You will be the face of the salon. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will serve as the first point of contact-front desk, manage our social media, and support various office functions to keep our workplace efficient and professional. This paid position offers an exciting opportunity to develop your salon skills and become more familiar with behind the chair experience in a fast-paced, supportive environment.

Responsibilities

  • Greet visitors, clients, and vendors warmly, providing exceptional customer service and ensuring a positive first impression
  • Manage phone systems such as, phone calls, social media development, and in salon photography to appropriate team members with professionalism and courtesy.
  • Handle front desk duties including scheduling appointments, maintaining visitor logs, and managing incoming and outgoing mail.
  • Perform data entry, filing, and ensure all forms are filled out and up to date to ensure accuracy and organization of client records
  • Utilize office management software such as Vagaro.
  • Support calendar management and coordinate meetings or appointments for staff members
  • Assist with clerical tasks such as inventory, printing, and salon promos.

Requirements

  • Cosmotology/esthetician/nail License or in school (Preferred)
  • Proven office experience with organizational skills and attention to detail
  • Proficiency in computer literacy including Word, Excel, Google Workspace, and data entry skills
  • Experience with phone systems and phone etiquette to handle calls efficiently
  • Excellent customer service skills with a friendly demeanor and professional communication style
  • Knowledge of schedule management procedures such as rebooking, rescheduling, enforcing cancellation policy, and getting cards on file.
  • Strong time management skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Prior clerical or administrative experience in healthcare or dental/medical reception is a plus; bookkeeping or personal assistant experience is beneficial

Pay: $9.00 - $15.00 per hour
