Receptionist/Administrative Assistant

Job Summary
We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our team. It is M, T, W, Th 4:30- 8:30 PM and Saturday 8-430. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service and support. This role requires a blend of administrative skills and a friendly demeanor to ensure smooth operations within the office environment.

Duties

  • Greet and welcome visitors in a courteous and professional manner.
  • Answer phone calls, manage inquiries, and direct calls to appropriate personnel.
  • Maintain an organized filing system for both physical and digital documents.
  • Assist with scheduling appointments and managing calendars for staff members.
  • Provide clerical support including data entry, document preparation, and correspondence management.
  • Handle customer support inquiries with a focus on delivering excellent service.
  • Ensure the reception area is tidy and presentable at all times.
  • Collaborate with team members to improve office processes and efficiency.
  • Perform additional administrative tasks as required by management.

Qualifications

  • Proven experience as a receptionist or in a similar administrative role is preferred.
  • Strong customer service skills with a focus on client satisfaction.
  • Excellent phone etiquette and communication skills, both verbal and written.
  • Bilingual abilities are a plus, enhancing communication with diverse clientele.
  • Highly organized with strong attention to detail and the ability to multitask effectively.
  • Proficient in office software applications (e.g., MS Office Suite).
  • Ability to maintain confidentiality and handle sensitive information responsibly.
