Receptionist/Administrative Assistant

Job Overview
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Duties

  • Greet visitors and clients warmly, providing excellent customer service and maintaining a professional front desk presence
  • Manage multi-line phone systems, answer inquiries promptly, and direct calls accurately using proper phone etiquette
  • Schedule appointments, coordinate calendars, and assist with meeting arrangements to ensure efficient time management
  • Perform data entry, maintain filing systems, and update records using Microsoft Office and Google Workspace tools
  • Handle clerical tasks such as proofreading documents, managing correspondence, and preparing reports with attention to detail
  • Support bookkeeping activities including invoicing, expense tracking
  • Assist with office management duties such as ordering supplies, maintaining office equipment, and organizing files for easy access

Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic computer literacy
  • Excellent phone etiquette and customer support skills for engaging with clients and visitors professionally
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience with multi-line phone systems, data entry, filing, proofreading, and calendar management is preferred
  • Knowledge of QuickBooks or bookkeeping experience is a plus but not required
  • Previous experience in medical or dental receptionist roles is advantageous but not mandatory
  • Strong time management skills with the ability to prioritize tasks efficiently
