Receptionist/Administrative Assistant

Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to be the welcoming face and efficient support system of our office. In this vital role, you will manage front desk operations, handle multi-line phone systems, coordinate administrative tasks, and provide exceptional customer service. Duties

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems with professionalism, directing calls accurately and courteously
  • Maintain a clean, organized front desk area and manage incoming/outgoing mail and packages
  • Perform data entry, filing, and document proofreading to ensure accuracy and confidentiality
  • Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for daily tasks
  • Schedule appointments, manage calendars, and coordinate meetings efficiently using calendar management tools
  • Support office management activities such as inventory control, supply ordering
  • Provide customer support via phone or email, addressing inquiries with excellent phone etiquette and professionalism
  • Assist with clerical duties such as photocopying, scanning, and maintaining organized filing systems
  • Contribute to a positive office environment through effective time management and organizational skills

Experience

  • Prior office experience in administrative or clerical roles preferred but not required; enthusiasm to learn is valued
  • Proven experience in handling multi-line phone systems and front desk operation
  • Familiarity with Microsoft Office (Word, Excel Outlook), Google Workspace, data entry, proofreading is highly desirable
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Excellent customer service skills with a professional demeanor and strong phone etiquette
  • Experience in medical or dental receptionist roles is advantageous but not mandatory; training will be provided for specific industry needs
  • Personal assistant or office management experience can enhance your ability to support various administrative functions effectively

Pay: $36,000.00 - $54,000.00 per year
