We are seeking a detail-oriented experienced Family Law Receptionist / Assistant to join our legal team. The ideal candidate will provide essential support in family law cases, ensuring smooth operations within the firm.
RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
- Greet clients, answer phone calls, complete client intake from start to finish in a professional manner.
- Data entry into firm’s data base(s) and customer relationship management software.
- Manage and maintain attorney calendars including setting appointments, assisting in preparing for appointments/appearances and confirming appointments.
- Meet with Partner on daily basis to discuss calendar for next day.
- Meet with Partner on weekly basis to go over next week’s calendar.
- Assist with retrieval and drop off for attorneys and staff, as needed
- Support attorneys and senior paralegal as needed.
- Assist Partner with maintaining contact with network and referral sources through use of CRM.
- Assist with posting approved social media content.
- Work with firm’s marketing consultant as need.
- Organize and prepare legal documents for hearing binders, including creating tables of contents, printing, and binding.
- Work with team to ensure timely completion of binders, typically within 7 days for Partner and longer for other attorneys; adjust deadlines if needed based on attorney priority.
- Manage file closing procedures, ensuring proper organization and timely completion, which may take up to half a day depending on file size.
- Check vendor statuses and input invoices to support efficient file closing and maintain organization.
- Manage e-cards for firm.
- Set up and take down of Conference Rooms for depositions and meetings.
- Monitor and address expense discrepancies in Stamps.com.
- Input data to ensure accuracy.
POSITION REQUIREMENTS:
- Minimum of 3 years Receptionist/Assistant experience.
- Preferred Family Law office experience.
- Experience in operating standard office equipment such as a computer, photocopier, postage machine, and scanner.
- Proficient in Microsoft 365 (specifically, MS Word, MS Excel & Outlook).
- Proficient Adobe Pro and Smokeball is preferred.
- Must be a self-starter who is well organized and can handle multiple tasks with the ability to prioritize work.
- Must be a team player with a positive attitude.
- Must be reliable, responsible, and detail oriented.
- Must be flexible and open-minded.
- Excellent communication skills, both verbal and written with the ability to write professional correspondence(s) and emails.
- Ability to work in fast paced environment while paying close attention to detail.
- Professional appearance and demeanor.
- Must be able to lift 50 lbs.

Job Type: Full-time
Pay: $22.00 - $26.00 per hour
