RECEPTIONIST/FRONT DESK COORDINATOR - BI-LINGUAL SPANISH

Job Summary

The Front Desk Coordinator is responsible for managing all aspects the front desk and lobby including; answering phones, greeting clients, client/room scheduling, staff schedules, open access and psychiatric support, reminder calls, supply inventory, conduct Spanish financial screenings, scanning, interpreter scheduling, processing client records Releases of Information, special projects as assigned and provide billing office support (checking in clients, collecting payments and fee agreements).

This position works with multiple teams within the agency and requires clear communication and a professional demeanor at all times. The nature of this position requires a high level of attention to detail, ability to manage multiple projects, frequently changing priorities, short deadlines and use of multiple computer programs.

Hours: Mon-Friday 8:00 AM - 4:30 PM

Primary Job Functions

• Greet clients and visitors
• Answer phones
• Sort and distribute incoming mail and faxes
• Client appointment scheduling / rescheduling
• Room scheduling
• Staff schedule maintenance
• Open Access support (new client paperwork, logging walk-ins, Medicaid eligibility verification, surveys)
• Psychiatric support (scheduling, wait list, refill requests)
• Nightly reminder calls
• Spanish intake appointment scheduling and financial screenings
• Scanning
• Interpreter scheduling
• Monitor and distribute hospitalization / discharge notices
• Process and document client records Releases of Information
• Stock/tidy lobby as needed
• Order supplies and stock copy/supply rooms as needed
• Identify and resolve applicable data issues in EHR (Avatar)
• Provide back-up billing office coverage (client payments, fee agreements) as needed
• General clerical duties and data entry tasks
• Additional duties as assigned.

Requirements

• Proficient computer skills
• Degree preferred
• Bi-lingual English/Spanish required
