Resecptionist/ Executive Assistant

Job Overview
We are seeking a dynamic and highly organized Receptionist/Executive Assistant to join our team! This vital role combines front desk responsibilities with executive support tasks, ensuring smooth daily operations and seamless communication within the organization. Responsibilities

  • Greet visitors, manage multi-line phone systems, and handle all front desk duties with professionalism and warmth
  • Manage calendar schedules using Microsoft Outlook Calendar and Google Workspace, coordinating appointments, meetings, and events efficiently
  • Provide executive administrative support including email management, transcription, proofreading, and document preparation using Microsoft Office and other office tools
  • Organize and maintain filing systems, data entry records, and office supplies to ensure operational efficiency
  • Assist with event planning and project coordination for company functions or special initiatives
  • Handle bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks data entry
  • Support office management activities including office supply procurement, maintenance requests, and ensuring a tidy work environment

Experience

  • Proven experience in administrative roles such as office assistant, personal assistant, or front desk receptionist with a strong background in clerical duties
  • Demonstrated ability to manage calendars effectively using Microsoft Outlook Calendar or Google Workspace
  • Experience with bookkeeping software like QuickBooks and familiarity with basic bookkeeping practices
  • Skilled in event planning, project coordination, and managing multiple priorities simultaneously
  • Excellent typing speed combined with strong organizational skills and attention to detail
  • Proficient in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and data entry systems
  • Exceptional phone etiquette skills with experience handling multi-line phone systems and providing outstanding customer service
  • Knowledge of transcription, proofreading, filing systems, and document management processes
  • Previous office experience supporting executives or teams in a fast-paced environment is highly desirable
