The Role:

As the Retail Coordinator & Administrator based at our ALGT Head Office in Dubai, you will be the crucial operational link between our retail stores, our sales team, and our supply chain. You will ensure the seamless flow of information and products, enabling our stores to provide an exceptional experience. Your precision and proactive approach will be key to supporting our brand's success and growth in the region.

Key Responsibilities:

Retail Operations & Coordination (60%)

  • Order & Inventory Management:  Process and manage purchase orders from our ELC retail stores across the UAE, ensuring accuracy and timeliness within our system.
  • Stock Replenishment:  Work closely with the warehouse and logistics teams to monitor store-level inventory, coordinate regular replenishment, and help prevent stock-outs or overstock situations.
  • Store Communication:  Act as a primary point of contact for store managers, addressing inquiries related to orders, deliveries, product availability, and promotions professionally and efficiently.
  • Point-of-Sale (POS) & Marketing Collateral:  Coordinate the ordering, inventory, and distribution of all in-store marketing materials, window displays, and POS units to ensure brand consistency and visual merchandising standards are met.
  • New Launch Support:  Support the rollout of new product ranges and collections by ensuring all stores receive the necessary stock and launch materials on schedule.

Sales & Marketing Support (25%)

  • Reporting:  Assist the Retail & Sales team by generating and distributing daily/weekly sales reports, tracking performance against targets, and highlighting key trends.
  • Sample Management:  Maintain and manage the central product sample library, fulfilling requests for internal meetings, photoshoots, and marketing events.
  • Promotional Administration:  Administer in-store promotions, including coordinating markdowns, setting up promotional codes in the system, and tracking the performance of promotional activities.
  • Competitor Insights:  Assist in gathering basic information on competitor activities, product offerings, and pricing in the local market.

General Administration (15%)

  • Team Support:  Provide comprehensive administrative support to the Retail Manager and broader team, including scheduling meetings, preparing presentations, and managing travel arrangements.
  • Documentation & Database Management:  Maintain accurate and up-to-date files, records, and databases (e.g., store contact lists, vendor information).
  • Meeting Coordination:  Organize team meetings, prepare agendas, and take detailed minutes to ensure follow-up on action items.

  • An Excellent Communicator:  You can build strong relationships with store teams and head office colleagues through clear and professional communication in English (Arabic is a plus).
  • A Team Player with a Passion for ELC:  You are collaborative, energetic, and genuinely excited about contributing to a brand that supports childhood development.
  • Tech-Savvy:  You are highly proficient in Microsoft Office, especially Excel (Pivot Tables, VLOOKUPs), and can quickly learn new retail management systems.

Qualifications & Experience:

  • Minimum of 2 years of experience in a retail coordination, administration, or operations role, ideally within retail, Toys , or consumer goods.
  • Previous experience with inventory management or order processing systems is essential.
  • Experience working within a head office environment, supporting a multi-store retail network, is highly desirable.
  • A high school diploma is required; a degree in Business Administration, Retail Management, or a related field is preferred.
