Job Summary:
We are seeking a highly organized and proactive Sales Admin Executive with strong experience in sales coordination, permit processing, and license documentation, specifically for Outdoor Advertising in the UAE. The ideal candidate will support the sales and operations teams by handling administrative tasks, liaising with government authorities, and ensuring all required advertising permits and licenses are obtained on time.
Key Responsibilities:
Sales Support & Administration
- Assist the sales team in preparing proposals, quotations, presentations, and contracts.
- Maintain and update client records in the CRM system.
- Coordinate with clients for documentation, approvals, and campaign updates.
- Prepare weekly/monthly sales reports and performance dashboards.
- Track inquiries, leads, follow-ups, and payment status.
Permits & Licensing
- Handle permit applications for outdoor advertising (billboards, hoardings, unipoles, digital screens, etc.) with relevant UAE authorities (e.g., RTA, Dubai Municipality, DED, DMT, etc.).
- Ensure all advertising licenses, design approvals, and location permissions are processed and renewed on time.
- Liaise with government departments and external agencies for approvals and regulatory compliance.
- Maintain a database of all permit/license statuses, expiration dates, and renewal reminders.

Coordination & Communication
- Act as a link between sales, operations, design, and finance teams.
- Coordinate with production and installation teams to ensure timely execution of approved campaigns.
- Follow up with clients and vendors for approvals, payments, and other documents.
Requirements:
- Minimum 2-4 years of experience in sales administration, outdoor advertising, or media coordination.
- Prior experience in handling permits, licensing, and municipality approvals in the UAE is mandatory.
- Strong knowledge of UAE government portals and advertising regulations.
- Excellent communication skills in English (Arabic is a plus).
- Proficiency in MS Office (Excel, Word, PowerPoint); CRM experience is a plus.
- Highly organized, detail-oriented, and able to work under tight deadlines.
- UAE driving license is an advantage.
Education:
- Bachelor’s Degree in Business Administration, Marketing, or a related field.
