We are seeking a Sales Administrator who will be responsible for managing the full administrative cycle of property sales transactions within Relevate, a subsidiary of Emirates National Investment. The role ensures all documentation, regulatory submissions, and system updates are completed accurately and on time. Acting as the operational backbone of the sales function, the Sales Administrator supports the Sales Manager and brokers by maintaining organised, compliant, and traceable records across all sales activities.
Key Responsibilities:
Sales Documentation & Transaction Processing

Prepare, verify, and process all required documentation for property sales including:

Memorandum of Understanding (MoU)
-
Form A (Agency Agreement), Form B (Buyer Representation), and Form F (Sale Agreement)

Oqood registration for off-plan properties
-
No Objection Certificates (NOCs) from developers
-
Title Deed issuance and DLD transfer appointments
-
KYC forms, passport/Emirates ID verification, and other supporting client documentation.

Ensure all documents are properly signed, dated, and filed in line with DLD and RERA requirements.

Track each deal from offer to final registration, maintaining up-to-date status logs and notifying the Sales Manager of pending items or bottlenecks.
Regulatory & Compliance Administration

Manage submissions, while ensuring correct client data, to DLD Trakheesi, Oqood, and Dubai REST portals, ensuring correct data entry and approvals.

Verify compliance with RERA brokerage regulations, escrow requirements, and company policies.

Maintain transaction and commission records in accordance with audit and regulatory standards.

Liaise with developers and property owners for document collection, payment schedules, and project updates.
System & Data Management

Input and maintain all leads, listings, and deal data within the company CRM and sales tracking systems.

Upload required documentation, manage electronic filing, and ensure consistent record-keeping across all sales.

Support reporting by compiling sales data, performance metrics, and monthly transaction summaries for management review.

Coordinate with finance to reconcile payments, commissions, and invoices.
Operational Support

Prepare internal approval forms, booking forms, and deal summary sheets for management sign-off.

Maintain organised archives of property documents, contracts, and handover records.

Support brokers with internal requests (document templates, approvals, verification, etc.) but not engage directly with clients.

Coordinate with marketing for listing updates and removal once sales are completed.
Experience, Education, and Skills:

Bachelor’s degree in Business Administration, Real Estate, or related field.

2–4 years’ experience in real estate sales administration or property transaction coordination in Dubai.

Strong knowledge of DLD, RERA, Trakheesi, and Oqood procedures.

Experience handling developer documentation and escrow account requirements.

Proficiency in CRM systems and MS Office; experience with Yardi, Salesforce, or D365 preferred.

Strong attention to detail, organisation, and ability to manage multiple concurrent transactions.

Excellent written and verbal communication in English; Arabic is a plus.
