Sales Assistant – Estimator & BOQ Admin

We are seeking a motivated and detail-oriented Sales Assistant Admin – Estimator & BOQ Specialist (Events & Exhibitions) at a junior level to support the sales and project teams with administrative and coordination tasks. This role involves assisting with basic BOQ preparation, documentation, client communication, data entry, and follow-ups with vendors and internal departments. The ideal candidate is organized, eager to learn, proactive, and able to manage multiple tasks in a fast-paced events environment.

Responsibilities of the job include:

1. Sales & Project Support

  • Assist in preparing simple proposals, quotations, and client presentations.
  • Support senior sales and project staff with gathering project requirements.
  • Maintain client files, track inquiries, and follow up on routine correspondence.
  • Assist in preparing and dispatching contracts, service agreements, and related documents.
  • Help update sales trackers, reports, and records.

2. BOQ & Documentation Assistance

  • Provide administrative support in preparing BOQs and cost estimates under supervision.
  • Enter data into templates and ensure accuracy in basic cost breakdowns.
  • Assist with revisions when scope/design changes occur.
  • Maintain organized files of BOQs, quotations, and related documents.

3. ERP & Job Order Support

  • Assist in creating and updating job orders in the ERP system.
  • Ensure project details are correctly entered and maintained.
  • Support in preparing simple summary reports for ongoing projects.
  • Coordinate with procurement/logistics teams for follow-up on smaller tasks.

4. Tendering & Registration Support

  • Assist in preparing standard tender forms and online registration documents.
  • Track submission deadlines and ensure required documents are collected.
  • Maintain company compliance and credential files.

5. Vendor & Supplier Coordination

  • Request quotations from vendors/suppliers as instructed by senior staff.
  • Maintain and update vendor contact lists and price records.
  • Support in comparing quotations and preparing summary sheets.

6. Client Interaction (Junior Level)

  • Handle basic client queries with guidance from senior staff.
  • Support in preparing meeting notes and sharing them with clients/internal teams.
  • Join site visits and client meetings for requirement documentation.

7. Administrative & Reporting Tasks

  • Maintain accurate records of estimations, quotations, and sales activities.
  • Provide routine reports and updates to management.
  • Ensure all sales and project documents are properly organized and accessible.

Required Qualifications:

  • Diploma or Bachelor's degree in Business Administration, Marketing, Event Management, Engineering, or a related field.

Experience:

  • Minimum 3–5 years in a similar role within events, exhibitions, or scenic production.
  • Experience in public/private tendering processes is a plus.
  • Hands-on knowledge of estimation, BOQ creation, and ERP systems.

Key Skills & Attributes:

  • Proven BOQ and estimation expertise in event/exhibition production.
  • Ability to read technical drawings, elevations, and layouts.
  • Strong knowledge of production elements: AV, rigging, fabrication, logistics, etc.
  • Proficient in MS Office (especially Excel), ERP platforms, and estimation tools.
  • Basic knowledge of SketchUp (SKP), AutoCAD is required.
  • Excellent analytical, communication (verbal and written), and organizational skills.
  • High IQ and ability to understand and process complex requirements.
  • Critical thinker with the ability to foresee risks and propose solutions.
  • Strong personality, self-motivated, and able to work independently.
  • Ability to work under pressure and meet tight deadlines.
  • Flexible with working hours during peak seasons and events.
  • Strong interpersonal and cross-functional coordination skills.
  • Adaptable to changing work environments and priorities.

Working Conditions:

  • Office-based with occasional travel for client meetings and site inspections.
  • Must be available for extended working hours during peak project periods and live event executions.

Job Type: Full-time

Pay: AED3,500.00 - AED4,500.00 per month

Education:

  • Bachelor's (Preferred)

Experience:

  • BOQ and Estimation : 2 years (Preferred)
  • Event / Exhibition production: 2 years (Preferred)
  • ERP platforms, and estimation tools: 2 years (Preferred)
