Sales Coordinator
Department: Sales & Marketing

Job Purpose
The Sales Coordinator will support the sales team by managing customer orders, coordinating with production, planning, stores, dispatch, and accounts departments, and ensuring timely execution of customer requirements from inquiry to delivery. The role acts as the central communication point between customers and internal departments.
Key Responsibilities1. Order Management
- Receive customer Purchase Orders (POs).
- Verify order details, specifications, quantities, and delivery requirements.
- Enter orders into the ERP/system.
- Generate sales order documentation.
2. Production Coordination
- Forward confirmed orders to Production Planning.
- Coordinate production schedules according to customer delivery dates.
- Follow up on order status with production departments.
3. Customer Communication
- Act as the primary contact for customers regarding order status.
- Respond to customer inquiries professionally and promptly.
- Provide updates regarding production progress and dispatch schedules.
- Coordinate sample approvals and artwork approvals when required.
4. Dispatch Coordination
- Coordinate with dispatch for shipment scheduling.
- Ensure dispatches are made according to customer requirements.
- Confirm delivery schedules with customers.
5. Documentation & Record Keeping
- Maintain customer files and order records.
- Keep records of quotations, POs, artwork approvals, and correspondence.
- Maintain customer-wise order history.
- Ensure all documentation is properly filed and retrievable.
6. Coordination with Accounts
- Coordinate with accounts regarding customer outstanding balances.
- Inform sales personnel about credit hold situations.
- Follow up on payment commitments from customers.
- Assist in obtaining delivery approvals for customers within credit limits.
7. Sales Support
- Prepare quotations as instructed by the sales team.
- Assist in preparing sales reports and forecasts.
- Maintain customer databases.
- Support new customer onboarding activities.
8. MIS & Reporting
Prepare and submit:
Daily Reports
- Pending Orders Report
- Dispatch Follow-up Report
- Production Follow-up Report
Weekly Reports
- Order Status Report
- Delivery Performance Report
- Customer Follow-up Report
Monthly Reports
- Customer Order Analysis
- Sales Performance Support Report
- Pending Delivery Summary
KPIs (Key Performance Indicators)
- On-time order processing.
- Order entry accuracy.
- Customer response time.
- On-time delivery coordination.
- Number of pending orders.
- Customer complaint resolution time.
- Documentation accuracy.
Qualifications
- Bachelor's degree in Business Administration, Commerce, or related field.
- 2–5 years of experience in sales coordination, customer service, or order management.
- Manufacturing industry experience preferred.
- Strong MS Excel and ERP skills.
- Good communication and follow-up skills.
