Roles and Responsibilities
- Execute accurate sales order processing for HORECA, Retail, and Wholesale clients with zero tolerance for errors in product codes, quantities, pricing, and customer information.
- Input order specifications, special requirements, delivery instructions, and customer preferences into SAP system; ensure complete and accurate data capture before order confirmation.
- Validate product availability, pricing accuracy, and customer credit limits prior to processing orders.
- Manage assigned customer clusters, understanding client needs, ordering patterns, and delivery expectations; rotate across clusters as needed to ensure uninterrupted service.
- Handle order modifications, cancellations, and special requests with proper approvals; coordinate with logistics for accurate fulfillment and delivery scheduling.
- Monitor order status from entry to delivery completion; generate confirmations and communicate delivery details promptly.
- Maintain Salesforce CRM for customer relationship tracking, order history, and database updates.
- Handle initial customer inquiries on order status, product availability, and delivery schedules; escalate complex issues to the Customer Service Team Leader.
- Process temperature-sensitive and special orders according to handling specifications; ensure quality checks before final confirmation.
- Maintain detailed records of order processing activities, recurring issues, and suggest process improvements to Team Leader.
- Demonstrate meticulous attention to detail, strong organizational skills, and the ability to manage multiple orders simultaneously under tight deadlines.
- Support team collaboration during peak periods, staff absences, and special projects while maintaining professional customer communication.
Desired Candidate Profile
- Minimum 2–3 years of order processing or data entry experience, preferably in food distribution or FMCG.
- Exceptional data entry skills with demonstrated accuracy (≥99.5%).
- Proficient in SAP for order management and Salesforce CRM for customer data tracking.
- Strong typing speed, attention to detail, and ability to work with complex product codes and multi-system workflows.
- High school diploma required; associate degree in Business Administration, Supply Chain, or related field preferred.
- Flexible, adaptable, and customer-service oriented with excellent time management and team collaboration skills.
