Job Description1. Production Planning & Coordination
- Plan and schedule production activities based on confirmed customer orders and available resources.
- Optimize capacity, manpower, and material utilization to maximize productivity.
- Communicate production plans and order specifications to Production, Warehouse, and Quality departments.
- Ensure accurate transfer of technical details, safety requirements, and delivery timelines.
2. Sales Coordination & Team Support
- Supervise, guide, and support Sales Coordinators in routine sales operations.
- Allocate daily tasks, monitor workflows, and ensure timely completion of customer activities.
- Provide coaching, training, and performance feedback to enhance team capability.
- Ensure adherence to company policies, SOPs, and documentation standards.
3. Customer Requirements & Quotation Management
- Review, validate, and refine raw customer requirements gathered by Sales Coordinators.
- Structure requirements using predefined templates to ensure accuracy and completeness.
- Oversee preparation of customer quotations based on approved requirements.
- Coordinate with approving authorities to finalize pricing, discounts, terms, and lead times.
- Ensure timely issuance of quotations, customer approval, and payment collection.
- Collaborate with Finance to maintain accurate records of quotations, approvals, and receipts.
4. Order Execution & Cross-Department Coordination
- Share final order specifications and production plans with relevant departments.
- Ensure clear communication of technical requirements, safety standards, and timelines to Production, QA, Warehouse, and Logistics.
- Work with Logistics for safe, timely, and compliant dispatches.
5. Customer Relationship Management
- Serve as the primary point of contact for order updates, clarifications, and follow-ups.
- Monitor delivery schedules to meet customer commitments.
- Ensure all orders meet quality and safety standards prior to delivery.
- Proactively resolve delays, issues, customer concerns, and service gaps.
- Maintain strong, long-term business relationships through timely communication and professional support.
Requirements
- Bachelor’s degree in Business Administration, Supply Chain, Marketing, or a related field.
- 1–3 years of experience in sales coordination, production planning, or customer service (manufacturing preferred).
- Strong communication, planning, and documentation skills.
- Proficiency in MS Office (Excel, Word, PowerPoint).
- Ability to manage multiple tasks and work cross-functionally.
- Strong problem-solving and customer-handling abilities.
