Position Description: Sales Support Officer
Position Overview:
The Sales Support Officer plays a key role in supporting the Sales and Project Teams through efficient coordination, documentation, and client communication. This position ensures that quotations, sales orders, and project details are processed accurately and that all stakeholders—clients, suppliers, and internal teams—are kept aligned throughout each stage of the sales and delivery cycle.
The role is ideal for someone who thrives in a technical or project-based environment such as steel fabrication, engineering, or construction, and who can balance strong administrative skills with a customer-focused approach.
Key Responsibilities:
Sales and Project Coordination
- Assist in preparing accurate and timely quotations, tender submissions, and sales orders.
- Coordinate with internal departments (e.g., Estimation, Design, Fabrication, and Logistics) to track order progress and ensure client requirements are met.
- Maintain up-to-date records of quotes, orders, and project documentation.
- Support the sales team in following up with clients and managing project timelines or delivery updates.
Client and Supplier Communication
- Serve as a point of contact for client and supplier queries, ensuring professional and prompt communication.
- Provide updates on order status, delivery schedules, and documentation requirements.
- Liaise with suppliers to obtain material quotes and delivery information when required.
Documentation and Reporting
- Manage and maintain sales logs, quotation trackers, and CRM databases.
- Prepare regular reports on sales performance, project status, and pipeline activity.
- Ensure all commercial and technical documentation complies with company standards.
Administrative and Team Support
- Assist in coordinating internal meetings, preparing sales materials, and maintaining records.
- Support the development of improved sales support processes and documentation systems.
- Provide general administrative assistance to the Sales and Project Management teams as needed.
Requirements:- Bachelor’s degree in Business Administration, Sales, Engineering Management, or related field preferred.
- Minimum 2 years of experience in a sales support, coordination, or administrative role.
- Prior experience in a technical or industrial environment (e.g., steel fabrication, construction, or engineering) is an advantage.
- Strong working knowledge of Microsoft Office (particularly Excel and Outlook) and CRM systems.
- Experience preparing quotes, purchase orders, or project documentation is highly desirable.
