Emergency Response Systems, Inc is a growing Security and Commercial Fire company in Riverside, CA. Our customer base is throughout Southern California and includes both commercial and residential. We are seeking to add an experienced Scheduler to our team.

Job Title: Schedule Coordinator

We are looking for a highly organized Schedule Coordinator to manage the important connection between technician dispatching and customer relations. As the central point of contact for our service department, you will be responsible for optimizing daily schedules, managing client follow-ups, and ensuring operational excellence. The ideal candidate excels at multitasking and thrives in a role where accuracy and professional communication are critical to our success.

Key Responsibilities

Daily Messaging & Communication

  • Monitor and manage multi-channel communications (Podium, Email, Monday.com) with high frequency to ensure all technician and customer inquiries are addressed promptly throughout the day.
  • Ensure no client inquiry goes unanswered by diligently managing missed-call workflows and verifying successful message delivery through secondary phone outreach.
  • Contacting customers immediately of any scheduling changes.
  • Facilitate urgent escalations by identifying priority requests and assigning them to the technicians with detailed service ticket notes.
  • Maintain accountability by reporting operational challenges and critical updates directly to management.
  • Minimize unnecessary service dispatches by performing initial diagnostics and troubleshooting with customers, effectively routing complex issues to the appropriate internal technical support.

Scheduling & Coordination

  • Ensure all service tickets contain comprehensive technical data and site-specific notes, enabling field technicians to arrive fully prepared for every engagement.
  • Coordinate with office staff to verify part availability and assist in pulling parts for technicians (prior to their service tickets).
  • Audit completed service tickets for accuracy and ensure the consistent upload of on-site documentation, including site photos and interactive platform updates.
  • Maintain a rolling two-week technician schedule, proactively identifying and filling gaps to maximize departmental productivity.
  • Review daily the following day's appointments in Cornerstone, sending reminders to customers and updating technicians if there are any changes.
  • Ensure emergency service calls are escalated and prioritized, involving leadership when needed.
  • Work with the Operation Scheduling Supervisor to help prioritize service emergencies and pre-scheduled service tickets.

Qualifications

  • Experience as an Schedule Coordinator, dispatcher, coordinator, or customer service role.
  • Strong organizational and time‑management skills with the ability to prioritize urgent issues.
  • Clear and professional communication skills (phone, email, and text).
  • Comfortable working with scheduling, ticketing, and messaging software.
  • Ability to work independently, stay calm under pressure, and support both customers and technicians.
  • Must have core computer skills
  • Google Workspace experience is a preferred (2+ years)
  • Cornerstone Billing Solutions experience is a plus
  • Must be able to work 40 hours per week (flexible to overtime if needed).
  • Clean driving record required for errands. Company vehicle provided.
  • Must be able to lift 25 lbs, when needed.

  • Hourly wage with possible overtime.

Pay: $18.00 - $23.00 per hour
