The Scheduler is responsible for coordinating and maintaining staffing schedules to ensure appropriate coverage in accordance with regulatory requirements and facility needs. This role supports efficient daily operations through accurate scheduling, communication, and documentation.

In addition, this position provides support to the Social Services department and coordinates resident transportation services. The combined responsibilities ensure continuity of care, regulatory compliance, and resident-centered service delivery.

Scheduler

  • Prepare, post, and maintain nursing department schedules in accordance with staffing guidelines and census needs.

  • Coordinate staffing coverage for call-offs, PTO, leaves of absence, and vacancies.

  • Communicate schedule changes promptly to appropriate staff.

  • Maintain accurate staffing records and documentation.

  • Monitor overtime and report variances to leadership.

  • Assist with agency staffing coordination when necessary.

  • Ensure compliance with federal, state, and facility staffing requirements.

  • Maintain confidentiality of employee information.

  • Collaborate with Human Resources and department managers regarding staffing updates.

  • Generate staffing reports as requested by administration.

Other Job Duties

Social Services Assistant Duties

  • Assist the Social Services Director with resident assessments and documentation as directed.

  • Support discharge planning activities and coordination of services.

  • Communicate with residents and families regarding resources and services.

  • Assist with arranging community services and referrals.

  • Maintain accurate and timely documentation in resident records.

  • Provide support for resident grievance processes.

  • Participate in care plan meetings as assigned.

  • Promote resident rights and advocate for resident needs.

Transportation Duties

  • Coordinate and schedule resident transportation for medical appointments, dialysis, therapy, and other approved outings.

  • Communicate appointment details with nursing staff and families.

  • Ensure transportation documentation is completed accurately.

  • Maintain transportation logs and records.

  • Verify necessary paperwork accompanies residents to appointments.

  • Coordinate with transportation vendors or facility drivers.

  • Assist with tracking transportation costs and invoices as needed.

Qualifications

  • High school diploma or equivalent required; associate degree preferred.

  • Experience in healthcare scheduling, long-term care, or skilled nursing facility (SNF) preferred.

  • Knowledge of staffing regulations in long-term care settings.

  • Strong organizational and time-management skills.

  • Excellent communication and interpersonal skills.

  • Ability to handle confidential information appropriately.

  • Proficiency in scheduling software and Microsoft Office applications.

  • Ability to multitask and prioritize in a fast-paced environment.
