Scheduling Coordinator

Overview:

Sports Labs is the leading third-party turf testing company working in the sports surfaces industry. Sports Labs provides quality control and research testing services both in a laboratory environment as well as in the field throughout the United States and abroad. We are looking for a passionate, motivated, and committed person for this position. The Scheduling Coordinator is responsible for managing the scheduling and logistics of field testing projects to ensure smooth and efficient operations. This role serves as a central point of coordination between clients and field technicians, organizing incoming job requests, confirming key details, and ensuring technicians are fully prepared for each assignment.

Responsibilities:

  • Coordinate incoming job requests and collect all required project details (test type, location, site contact, scheduling preferences, etc.)
  • Review and confirm job information to ensure accuracy and completeness prior to scheduling
  • Schedule and assign jobs to field technicians based on availability, location, and project requirements
  • Communicate clear, detailed job information to field technicians to ensure efficient execution
  • Arrange and manage travel logistics for field technicians, including flight bookings
  • Confirm schedules and travel plans with both technicians and clients
  • Prepare and manage weekly field technician schedules
  • Maintain accurate job records using pre-established project management and scheduling systems
  • Provide general administrative support, including handling inbound calls and client communication
  • Report directly to the Operations Director and support day-to-day operational needs

Qualifications:

  • Proficiency in Microsoft Office (Excel, Outlook, Word) required
  • Strong organizational and time management skills, with the ability to manage multiple priorities and deadlines
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy
  • Strong problem-solving skills and ability to adapt in a fast-paced environment
  • Ability to handle confidential information with professionalism and discretion
  • Reliable and dependable with a consistent sense of urgency
  • Ability to work both independently and collaboratively within a team
  • Experience in scheduling, logistics, or operations coordination (preferred but not required
