Scheduling & Customer Care Coordinator

Job Overview
We are seeking an energetic and highly organized Scheduling & Customer Care Coordinator to join our dynamic team. In this vital role, you will serve as the air traffic controller of our delivery operations, and provide exceptional customer support. Your proactive approach and excellent communication skills will ensure smooth office operations, foster positive relationships, and enhance overall client satisfaction. This position offers an exciting opportunity to contribute to a professional environment where efficiency and customer care are prioritized.

Key Responsibilities

  • Strategic Routing: Develop and optimize daily delivery routes to ensure maximum efficiency and timely arrivals.
  • Customer Communication: Proactively contact customers via phone, email, and text to schedule deliveries, provide arrival windows, and offer status updates.
  • The "Paperwork Pro": Manage and audit all delivery-related payments and documentation, ensuring financing contracts and protection plan paperwork are 100% accurate before the truck leaves the dock.
  • Expectation Management: Act as a point of contact for furniture delays and shipping updates. You’ll provide honest, empathetic updates to customers and keep them informed through every step of the back-order process.
  • Problem Solving: Tackle delivery hurdles in real-time, coordinating between the warehouse, the sales team, and the customer to find quick solutions.

What We’re Looking For

  • The "Organization Ace": You thrive in the details. You’re the person who catches a missing signature or a routing conflict before it becomes a problem.
  • Communication Style: You have a "firm but friendly" phone presence. You can handle difficult conversations regarding delays with grace and professionalism.
  • Tech Savvy: Ability to quickly learn routing software and manage digital financing portals. Ideally, you'll be able to master our current systems and improve upon those processes.
  • Resilience: The furniture industry involves logistics and lead times; you need the ability to stay calm under pressure and keep the customer's experience top-of-mind.

Requirements

  • High school diploma or equivalent (Associate’s degree preferred).
  • 2+ years of experience in scheduling, logistics, or high-level administrative support.
  • Experience in the furniture or retail industry is a major plus.
  • Strong knowledge of local geography (for routing purposes).
