Scheduling Specialist (Night Shift – U.S. Healthcare)

Full-Time | Onsite | Night Shift (7:00 PM – 4:00 AM PKT / U.S. Central Time)

About the Role

We are seeking a Scheduling Specialist to support our psychiatry and behavioral health services within the U.S. healthcare system. This is a full-time, onsite night-shift role, aligned with U.S. Central Time, requiring strong communication skills, attention to detail, and experience handling high-volume scheduling operations.

You will serve as a key point of contact for patients and providers, ensuring accurate appointment scheduling, seamless coordination, and an excellent patient experience - all while maintaining strict compliance with HIPAA and internal policies.

Key ResponsibilitiesAppointment Scheduling

  • Schedule new, follow-up, and rescheduled appointments for psychiatry and behavioral health patients
  • Coordinate provider calendars based on appointment type, duration, clinical priority, and patient preference
  • Manage scheduling for multiple providers across various time zones and locations

Patient Interaction & Call Handling

  • Handle a high volume of inbound and outbound calls (approximately 60 - 70 calls per shift) with professionalism and empathy
  • Assist patients with appointment inquiries, confirmations, cancellations, and rescheduling
  • Follow up on no-shows and cancellations to minimize disruption to clinical operations

Data Entry & System Management

  • Accurately enter and update patient information in EHR and scheduling systems
  • Maintain precise records including demographics, insurance details, visit notes, and appointment logs
  • Ensure timely documentation of all scheduling activities and communications

Communication & Coordination

  • Act as a liaison between patients, providers, and internal administrative and clinical teams
  • Communicate time-sensitive updates and scheduling changes effectively
  • Maintain a professional, courteous tone in all written and verbal interactions

Problem Solving & Conflict Resolution

  • Resolve scheduling conflicts, provider availability issues, and patient access challenges
  • Escalate complex cases when necessary while proactively managing daily scheduling issues
  • Adapt quickly to changes in schedules, staffing needs, or operational priorities

Compliance & Policy Adherence

  • Maintain strict compliance with HIPAA and organizational confidentiality standards
  • Follow all scheduling, documentation, and communication protocols
  • Participate in ongoing training related to policy updates and regulatory requirements

Qualifications

  • Fluency in English with exceptional verbal and written communication skills
  • O/A Levels with relevant experience and/or a Bachelor’s degree or equivalent
  • Strong organizational and time-management skills in a fast-paced environment
  • Proficiency with Electronic Health Record (EHR) systems and healthcare scheduling software
  • Ability to quickly learn and adapt to new tools and technologies
  • Strong customer service mindset with a focus on patient experience

Preferred Qualifications:

  • Prior experience in medical scheduling or administrative roles within the U.S. healthcare system
  • Experience in psychiatry or behavioral health settings is a plus

Job Type: Full-time

Pay: Rs135,000.00 - Rs150,000.00 per month

Ability to commute/relocate:

  • Karachi Gulshan-E-Iqbal: Reliably commute or planning to relocate before starting work (Preferred)
