A leading group of companies is looking for hardworking and trusted female Secretary for our hypermarket & dept. store.
Applicants should be skilled in managing administrative duties, including answering phones, scheduling appointments, handling correspondence and organizing files.
Key responsibilities
- Administrative Support: Provide a wide range of administrative support to executives, managers, and teams to ensure efficient office operations.
- Communication: Answer, screen, and direct phone calls, manage email correspondence, and prepare and distribute memos, letters, and other internal/external communications.
- Scheduling: Manage calendars, schedule appointments, and coordinate meetings, including booking rooms and arranging necessary equipment.
- Travel Coordination: Arrange travel for staff by booking flights, accommodations, and transportation.
- Document Management: Create, format, and maintain organized filing systems for both electronic and physical documents. This includes data entry and updating contact lists.
- Office Management: Monitor and manage office supplies inventory, place orders as needed, and ensure the office is tidy and organized.
- Meeting Support: Assist with meetings by preparing agendas, taking minutes, and ensuring all necessary materials are ready.
- Confidentiality: Handle sensitive and confidential information with discretion.
