Job Summary:

The Secretary will be responsible for providing administrative and secretarial support to the management to ensure smooth daily office operations. Duties include managing correspondence and documents, following up on tasks assigned by the management, preparing reports and presentations, and supporting technical and operational administrative activities. The role requires fluency in English and Arabic, good knowledge of Microsoft Office applications (Excel, Outlook, and PowerPoint), strong presentation skills, good communication, organization, attention to detail, and the ability to handle multiple tasks efficiently.

Roles and Responsibilities:

  • Administrative and Secretarial Support: Provide day-to-day administrative and secretarial assistance to management to ensure efficient office operations.
  • Correspondence and Document Management: Prepare, receive, organize, and maintain official correspondence, records, and documents in an orderly and accessible manner.
  • Task Tracking and Follow-Up: Monitor and follow up on tasks assigned by management to ensure timely completion and proper coordination.
  • Report and Presentation Preparation: Prepare reports, meeting materials, and professional presentations as required to support management and operational needs.
  • Coordination of Office Activities: Coordinate meetings, schedules, and internal communications to facilitate smooth workflow and information sharing.
  • Technical and Operational Administrative Support: Assist in handling technical and operational administrative requirements, ensuring accurate documentation and support to relevant teams.

Qualifications:

  • Bachelor’s degree in Business Administration, Office Management, or a related field.
  • Minimum of 3 years of relevant experience in administrative or secretarial roles.
  • Female Arab national with proficiency in Arabic and English is preferred.
  • Experience in a construction, oil & gas, or engineering environments will consider advantage.
  • Proficient in Microsoft Office applications, including Excel, Outlook, and PowerPoint, with strong presentation preparation skills.
  • Strong organizational, documentation, and coordination skills.
  • Demonstrates professionalism, attention to detail, good communication skills, and the ability to manage multiple tasks effectively.
  • Must have valid residency in Kuwait.
