Overview
We are seeking a highly organized and professional Secretary to join our team. The ideal candidate will play a vital role in managing administrative tasks, supporting office operations, and ensuring smooth communication within the organization. This position offers an opportunity to utilize a wide range of office management skills in a dynamic environment, providing essential support to our team and clients. Experience with office management software, strong organizational abilities, and excellent customer service skills are essential for success in this role.

Duties

  • Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and document proofreading to ensure accuracy and confidentiality
  • Utilize Microsoft Office Suite and Google Workspace for document creation, editing, and communication
  • Coordinate calendar management and schedule appointments for executives or team members
  • Handle customer support inquiries via phone or email, providing exceptional service and support
  • Maintain office supplies inventory and place orders as needed to ensure operational efficiency
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software
  • Support office management activities such as organizing meetings, preparing agendas, and managing correspondence
  • Provide administrative assistance to various departments as needed, including personal assistant duties if required

Requirements

  • Proven experience in office administration or clerical roles, preferably with office or medical reception experience such as dental or medical receptionist roles
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Exceptional phone etiquette and customer service skills; bilingual abilities are a plus
  • Experience with multi-line phone systems, calendar management, and office management software such as QuickBooks is highly desirable
  • Attention to detail in proofreading, data entry, and document management
  • Ability to handle confidential information discreetly and professionally
  • Previous experience in administrative or clerical roles demonstrating strong organizational skills and office experience is preferred

Pay: $21.19 - $25.52 per hour
