Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately with friendly professionalism
  • Operate multi-line phone systems to handle incoming calls efficiently, providing excellent customer support and support to staff
  • Maintain accurate data entry records using Microsoft Office, Google Workspace, and other office management tools
  • Organize and file documents systematically, ensuring easy retrieval and confidentiality of sensitive information
  • Assist with calendar management, scheduling appointments, meetings, and coordinating events for staff or executives
  • Perform clerical tasks such as proofreading correspondence, preparing reports, and managing mail distribution
  • Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
  • Provide administrative support including typing documents, managing office supplies inventory, and supporting team members as a personal assistant when needed

Experience

  • 3-5 Years of experience.
  • Proven office management or administrative experience in a professional setting
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Previous experience working at the front desk or as a receptionist in medical or dental offices is highly desirable
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Bilingual abilities are a plus to assist diverse clientele and team members
  • Demonstrated customer service skills with professional phone etiquette and positive attitude
  • Experience handling multi-line phone systems, filing systems, and office equipment such as printers and scanners
  • Knowledge of clerical procedures including proofreading documents and maintaining accurate records
