Secretary Assistant

Job Title: Administrative Assistant / Tech-Savvy Secretary (Part-Time, Hybrid – Tulsa)

Location: Tulsa, OK (Hybrid – remote work allowed, must be able to sometimes meet in person)
Schedule: Part-time (flexible hours)

Description

Growing construction and equipment rental business is looking for a tech-savvy administrative assistant / secretary to help organize operations and handle day-to-day administrative work. This role is ideal for someone who is organized, comfortable with technology, and interested in learning new software and systems.

The position is part-time and partially remote, but you must be located in the Tulsa area and able to meet face-to-face when needed.

You will work directly with the owner to help streamline business operations, manage communications, and implement better systems for delegation and organization.

Responsibilities

  • Manage and organize email communications
  • Summarize incoming emails and draft or send responses when appropriate
  • Communicate with vendors, suppliers, and service providers
  • Post job listings for construction workers and help manage hiring responses
  • Perform online research to locate possible heavy equipment deals
  • Research and help implement software or systems that improve business operations
  • Set up and organize business tools (business email accounts, phone systems, etc.)
  • Help establish systems for delegating and tracking tasks
  • Organize digital files and company documents
  • Assist with setting up and managing social media accounts
  • Conduct online research when needed (vendors, tools, pricing, etc.)

Preferred Qualifications

  • Comfortable learning and using new software and online tools
  • Strong organizational and communication skills
  • Self-motivated and able to work independently
  • Basic familiarity with business administration tasks
  • Located in or near Tulsa and able to meet occasionally in person

Bonus (not required):

  • Experience with construction-related software or workflows, estimating, scheduling, blueprint drafting, or project management tools
  • Experience with QuickBooks, spreadsheets, or CRM systems
