Secretary Assistant

Job Summary
We are seeking a dynamic and highly organized Secretary Assistant to join our team! Responsibilities

  • Greet visitors and clients at the front desk with professionalism and warmth, providing excellent customer service
  • Manage multi-line phone systems, directing calls accurately and courteously
  • Handle incoming and outgoing correspondence via email, mail, and courier services
  • Maintain organized filing systems—both physical and digital—ensuring quick retrieval of documents
  • Perform data entry tasks using Microsoft Office Suite and Google Workspace applications with precision
  • Assist with calendar management, scheduling appointments, meetings, and reminders for staff members
  • Support bookkeeping activities using QuickBooks or similar accounting software as needed
  • Proofread documents for accuracy and clarity before distribution
  • Coordinate office supplies inventory, place orders, and manage vendor relationships
  • Provide general administrative support including photocopying, faxing, and preparing reports

Experience

  • Prior office management or administrative assistant experience in a professional setting is required
  • Demonstrated proficiency with Microsoft Office (Word, Excel, PowerPoint) and Google Workspace tools
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Excellent phone etiquette and customer support skills—bilingual abilities are a plus
  • Experience with clerical duties such as filing, data entry, proofreading, and calendar management
  • Familiarity with multi-line phone systems and front desk operations is highly desirable
  • Knowledge of bookkeeping software like QuickBooks or similar programs is preferred
  • Previous experience in healthcare or dental/medical receptionist roles is advantageous but not mandatory
