Secretary to the Director (Onsite & Offsite)

Job Description—Secretary to the Director

We are looking for a dedicated and professional Female Secretary to provide administrative support to the director under both onsite and offsite working conditions. The role requires strong organizational skills, confidentiality, and the ability to manage tasks efficiently with flexibility.

Communication:

· Act as the primary point of contact between the director and internal/external stakeholders.

· Screen and prioritize calls, emails, and requests, ensuring that urgent matters are addressed promptly.

· Draft and proofread correspondence, ensuring clear and professional communication.

Project Management:

· Assist the Director in the planning and execution of projects, including tracking deadlines and deliverables.

· Coordinate with various departments to ensure that projects are completed on time.

· Monitor progress and provide regular updates to the Director.

Office Management:

· Oversee the management of the Director’s office, including ordering supplies and managing office equipment.

· Coordinate with IT support to resolve technical issues.

Event Planning:

· Organize and coordinate events, meetings, and conferences, including logistics, catering, and venue arrangements.

· Manage guest lists, invitations, and RSVPs for events hosted by the Director.

Personal Assistance:

· Provide personal assistance to the Director, including managing personal appointments, travel arrangements, and other errands as needed.

· Handle personal correspondence and ensure confidentiality.

Experience:

· Minimum 2 years of proven experience as a Secretary to the Director or in a similar role, preferably supporting senior management.

· Experience in managing schedules, communications, and projects.

Key Responsibilities:

· Manage the Director’s calendar, meetings, and appointments (onsite & remote).

· Draft, review, and handle official correspondence and communication.

· Coordinate travel plans, logistics, and event arrangements.

· Prepare and organize reports, documents, and presentations.

· Maintain confidential records and files.

· Assist in communication with clients, stakeholders, and staff both in-person and virtually.

· Provide day-to-day administrative support to ensure smooth office operations.

Skills:

· Excellent organizational and time management skills.

· Exceptional written and verbal communication skills in English.

· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (Zoom/Teams).

· Strong problem-solving skills and attention to detail.

· Ability to multitask and work independently under both onsite and offsite conditions.

· Professional appearance, discretion, and reliability.

Job Requirement & Compensation:

· Education: Minimum Bachelor’s degree in Business Administration, Management, or a related field preferred
