Secretary/Receptionist

Job Overview
We are seeking a highly organized and professional Receptionist/Secretary to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service and administrative support. This role requires strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment.

Responsibilities

  • Greet and assist clients and visitors in a friendly and professional manner.
  • Manage multi-line phone systems, directing calls appropriately while maintaining excellent phone etiquette.
  • Perform data entry tasks, including maintaining accurate records and filing systems.
  • Utilize QuickBooks for basic bookkeeping tasks as needed.
  • Provide clerical support including typing, proofreading documents, and managing correspondence.
  • Assist in calendar management and scheduling appointments for staff members.
  • Maintain office organization through effective filing systems and inventory management.
  • Support customer service efforts by addressing inquiries and providing information as needed.
  • Collaborate with team members to ensure smooth office operations and assist with various administrative tasks.
  • Utilize Microsoft Office Suite and Google Workspace for document creation, spreadsheets, and presentations.

Requirements

  • Proven experience in an office setting with clerical or administrative responsibilities.
  • Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Familiarity with QuickBooks is preferred but not mandatory.
  • Excellent organizational skills with the ability to manage time effectively and prioritize tasks.
  • Bilingual candidates are encouraged to apply to enhance communication with diverse clientele.
  • Previous experience as a dental receptionist or medical receptionist is a plus.
  • Strong typing skills with attention to detail for accurate data entry and proofreading.
  • Demonstrated customer service skills with a focus on providing support to clients effectively.
