Responsibilities

  • Greet visitors promptly and professionally, ensuring a warm and welcoming atmosphere
  • Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with clarity and promptness
  • Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy
  • Assist with calendar management, appointment scheduling, and personal assistant tasks as needed
  • Support office management activities including supply inventory, basic bookkeeping with QuickBooks, and filing procedures
  • Provide customer support by addressing questions or concerns with professionalism and patience

Skills

  • Proven experience in front desk operations and office management roles
  • Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Demonstrated clerical experience including data entry, proofreading, filing, and document handling
  • Exceptional phone etiquette with experience managing multi-line phone systems
  • Knowledge of bookkeeping software such as QuickBooks is a plus for supporting basic financial tasks
  • Strong time management skills with the ability to prioritize tasks effectively
  • Personal assistant experience or calendar management skills are beneficial for supporting executive needs
