Senior Air Freight Operation & Documentation Specialist

We are currently seeking an experienced Senior Air Freight Operation & Documentation Specialist to join our growing team. We are looking for an individual with a strong background in air freight operations and a passion for delivering efficient, compliant, and customer-focused logistics solutions.

Key Responsibilities:

• Plan, coordinate, and execute all air freight shipment operations in compliance with company policies and international regulations.
• Manage booking arrangements, flight schedules, and carrier coordination to ensure timely cargo movement.
• Prepare, verify, and issue all air freight documentation, packing lists, and customs declarations.
• Ensure all shipping documents are accurate, complete, and compliant with customs requirements.
• Communicate effectively with airlines, freight forwarders, customs authorities, and ground handling agents to manage smooth operational workflows.
• Enter shipment details accurately into the company database and maintain both physical and electronic documentation records.
• Monitor and track shipments, proactively resolving any operational or documentation discrepancies that may arise.
• Collaborate closely with internal teams (customer service, finance, and warehouse) to ensure on-time cargo delivery and document submission.
• Address and resolve customer inquiries or complaints promptly, providing updates throughout the shipment process.
• Ensure all processes and documentation comply with international trade laws, export/import regulations, and industry standards.
• Identify and implement process improvements to enhance operational efficiency and documentation accuracy.

Qualifications:

• Bachelor’s degree in Logistics, Business Administration, International Trade, or a related field.
• Solid theoretical and practical knowledge of the freight forwarding and logistics industry, with a strong focus on air freight operations and documentation.
• Minimum 3 years of experience in air freight operations and/or documentation within an international logistics environment.
• Good command of English .
• Proficiency in Microsoft Office applications and familiarity with logistics management systems.
• Strong communication, coordination, and interpersonal skills.
• A proactive, self-motivated team player with the ability to build effective relationships across departments and with external partners.
• Highly detail-oriented, with strong organizational, analytical, and follow-up skills.
• Results-driven and able to perform effectively under pressure in a fast-paced environment.
• Demonstrated ability to take initiative, assume responsibility, and contribute to continuous process improvement.
