Your Specific Responsibilities:
This is a Career Service Senior Clerk position in a County Health Department working under the supervision of the Dentist. This position is identified as a sensitive position and may be responsible for receiving money or performing tasks involving financial trust. This position requires a background screening and fingerprinting. This position is identified as a key custodian for designated areas. Adheres to Information Security policies and procedures.
Serves as clerical support to the reception office of the Walton CHD Dental office in DeFuniak Springs. Maintains smooth clinic flow by adhering to the daily appointment schedule. Greets and acknowledges clients when registering for clinic appointments to ensure the clients are checked in timely according to Department policy and procedure. All patients/clients are to be greeted in a professional, positive and friendly manner. Prepares dental charts prior to client appointments adhering to records management system guidelines. Verifies and updates patient/client information into the HMS and/or Eagle Soft database systems. Obtain and verify Medicaid and/or third-party insurance information from clients utilizing various web portals. Explains eligibility process in a manner the client can comprehend and will provide estimates of what fees will be assessed as requested by client. Obtains vital information for patients/clients integration in HMS system. Provide routine information to patients/clients regarding appointments, programs, clinic schedules, medical release forms as requested adhering to records management guidelines.
Incumbent schedules dental appointments either in person and by telephone in a friendly and professional manner; will confirm appointments with client or parent via phone prior to scheduled appointment date. Build appointment schedules in appropriate data software; Provides information to the public regarding available services, local policies and procedures, collection and payment responsibilities. Performs accurate billing activities and data entry as assigned. Maintain current contact information for Dental referrals (specialist). Assemble client information needed for referrals. Copy x-rays on disc for referrals. Obtains preauthorization from insurance when required for referral to specialist. Schedules client appointment with specialist, prepares referral packet and sends packet to specialist prior to appointment. Reviews and assures accuracy of client encounter forms.
Maintains inventory of office supplies and forms and orders as needed. Create and print end of day reports. Scan and save appropriate documents in client records daily. Fax pertinent information to Children and Family Services, Children’s Health Network and Head Start program following records management guidelines. Collect data from quarterly client satisfaction surveys, assemble information on Excel Spreadsheet and prepare results for presentation at QA/QI meeting.
Required Knowledge, Skills, and Abilities:
Qualifications:
Minimum - Must hold and maintain a valid U.S. Driver’s License, current CPR certification, 1 year of customer service/ cash handling experience.
Preferred – 12 months or more clerical experience in a dental/medical office, valid U.S. Driver’s License, current CPR certification, 1 year of customer service/ cash handling experience.
