JOB SUMMARY
The ideal candidate will adeptly manage escalations from executive leadership, responding with professionalism, clear communication, and urgency to ensure timely resolution of high-impact issues. A strong sense of urgency, accountability, and responsiveness will be essential in balancing competing priorities within UTSW’s environment.
This position will be responsible for driving results, meeting deliverables, and owning all stages of the Sourcing/RFP/Proposal/Contracting process as assigned. This includes working collaboratively with internal stakeholders—particularly within clinical and healthcare operations—to determine the appropriate response strategy, from initial RFP requirements and compliance analysis through subsequent review stages to final execution and throughout the life of the contract.
The role requires maintaining the integrity and accuracy of category contracts by working with value analysis, category management, clinical stakeholders, and independently to ensure all materials and data remain current and compliant with healthcare regulations and standards. The Senior Sourcing & Contracts Specialist will assist with leading the strategic sourcing of goods, equipment, or services, with a focus on clinical categories such as medical devices, pharmaceuticals, patient care services, and other healthcare-related commodities. Demonstrate technical procurement knowledge of a broad spectrum of clinical and non-clinical commodities and services pertinent to the assigned category. Collaborate with departments and units across the institution—including nursing, pharmacy, and clinical operations—to identify areas of spend optimal for strategic sourcing, cost savings, and improved patient outcomes.
This position follows a hybrid work schedule with one day per week in office and additional in-person presence as needed.

Education
Bachelor's Degree in science, healthcare, or business related field
Experience
4 years experience in contract administration, purchasing, sourcing, and demonstrated intermediate Microsoft Excel, PowerPoint, and Word.
Strong knowledge in the review and understanding of legal contracts, terms, and conditions.
Licenses and Certifications
(CTCM) Certified TX Contracts Manager (3 attempts at the certification exam, first attempt only covered by UTSW) within 1-1/2 Yrs and

JOB DUTIES
Work independently to lead the sourcing and contracting of products, equipment, and services for UT Southwestern in collaboration with end-users, Group Purchasing Organizations, and Contracts Management aligned with contract compliance and expense reduction initiatives.
Provide training, onboarding, and support of new Sourcing Specialists
Prepares, manages, and executes the procurement lifecycle while coordinating efforts with end-users sourcing approaches and provide recommendations based on Contract hierarchy and federal and state regulations.
Provide effective management of scouring timeline to reduce RFX lifecycle and portfolios while ensuring that all contract documents are readily assessable.
Conduct kick-off meetings with internal and external contributors - including collaborating partners, 3rd party subcontractors and primes.
Execute and drive all review cycles including KPI and ongoing contract and vendor management. Develops a risk-assessment and contract-monitoring plan.
Work with the technical teams and SMEs to translate highly technical requirements and information into clear messaging and content to produce compelling, responsive and superior quality RFPs, proposals, and final contracts.
Partner with internal SMEs to maintain up to date product information and functionality related content and materials.
Implement a value-based selection process and positions the Sourcing team and Supply Chan Department as a trusted advisor.
Coordinate contracts review and execution while managing vendor quarterly business reviews and KPIs as required.
Review contracts for terms, changes and/or enhancements. Interacts with legal on contract language and terms in accordance with UT Southwestern policies and procedures.
Monitor contractors' compliance in accordance with contractual requirements to include insurance and HUB requirements.
Exports filter, categorize and interpret volumes of data to identify opportunities resulting from data selections and recommend sourcing opportunities.
Compile information and respond to internal and external audit requests.
Sets up, maintains and completes tasks/activities in Sourcing Director platform.
Performs other duties as assigned.
