Key Responsibilities:1. Document Control Operations
- Manage the day-to-day operations of the document control team and ensure adherence to the project’s document control procedures.
- Maintain and update the Electronic Document Management System (EDMS) to ensure proper classification, version control, and traceability.
- Ensure timely distribution and retrieval of documents from internal departments, subcontractors, and vendors.
2. Document Review & Compliance
- Review incoming and outgoing documents for accuracy, formatting, and compliance with project standards.
- Track document status, approvals, and revisions to ensure timely processing and closure of transmittals and submittals.
- Ensure all documentation complies with contractual and regulatory requirements.
3. Printing & Submission Quality
- Ensure all printed documents, drawings, and reports meet the required quality standards for submission.
- Oversee formatting, binding, labeling, and packaging of hard copy submissions.
- Coordinate with reprographic vendors or internal printing teams as needed.
4. Coordination with client
- Act as the primary point of contact for document-related coordination with client.
- Ensure timely submission of documents for review and approval by client.
- Track and follow up on client comments, approvals, and document return cycles.
5. Reporting & Archiving
- Generate regular reports on document status, outstanding actions, and compliance metrics.
- Maintain a master document register and ensure all final documentation is archived in accordance with project and company policies.
- Assist in the preparation of final handover documentation packages.
Qualifications:
- Bachelor’s degree in business administration, Information Management, Engineering, or a related field.
- Certification in Document Control or Records Management is an advantage.
Experience:
- Minimum 6–8 years of experience in document control roles, with at least 3 years in a senior or supervisory capacity.
Skills & Competencies:
- Strong understanding of document control standards, workflows, and best practices.
- Excellent organizational and time management skills.
- High attention to detail and accuracy in document formatting and printing.
- Strong communication and coordination skills, especially with external stakeholders.
- Proficient in Microsoft Office Suite and document control software.
- Fluent in English and local languages (Urdu and/or regional dialects) to ensure effective communication with all stakeholders.
