The Role

The Senior Executive Assistant and Program Administrator to the Chief Business Officer (CBO) is a strategic partner who drives the operational cadence, information flow, and day-to-day priorities for a highly active senior leader. This role is best suited for a seasoned Executive Assistant who excels in a fast-paced environment, anticipates needs, organizes complex and sensitive information, and ensures high-priority work is executed accurately and on time. The ideal candidate brings sound judgment, strong organizational discipline, and the ability to operate as a trusted extension of the CBO. Responsibilities span executive operations across business functions, including coordination of confidential communications, board and leadership materials, legal documentation, and compliance-related activities.

This position requires discretion, maturity, and a proactive, solutions-oriented mindset. The Executive Assistant enables the CBO to stay focused on strategic leadership, decision-making, and organizational impact

What you will accomplish

  • Serve as the primary operational partner to the Chief Business Officer, acting as a trusted gatekeeper and protector of executive focus.
  • Manage calendar, travel, and the daily operating cadence; align executive time to the highest priorities.
  • Triage and prioritize inbound requests and communications; ensure timely routing and response.
  • Prepare meeting briefs, agendas, summaries, and decision-support materials; surface key information in a clear, digestible format.
  • Track commitments, action items, and cross-department initiatives; build systems that ensure consistent follow-through.
  • Draft and coordinate executive correspondence; manage document flow, repositories, and structured file systems.
  • Coordinate board and senior leadership meetings, including materials preparation, version control, distribution, governance records, and follow-ups.
  • Administer contracts, legal, and lease documentation: maintain a centralized system, summarize key terms, coordinate revisions/approvals with counsel, and track renewals/obligations.
  • Support HR, compliance, and corporate documentation (specialized employment/executive matters, licensing, insurance, regulatory records) and provide high-trust logistics/personal support (expenses, select personal scheduling) in a fast-paced, high-discretion environment with extended-hour demands.

What we would like you to have

  • 10+ years supporting senior executives; proven career Executive Assistant with success supporting leaders with complex, high-volume responsibilities.
  • Advanced organizational, project coordination, and follow-through skills; able to create structure, track commitments, and drive execution across competing priorities.
  • Excellent written and verbal communication; experienced preparing executive-level documents, presentations, and summaries.
  • Demonstrated judgment, discretion, and confidentiality; high attention to detail and ability to organize large volumes of information into actionable insights.
  • Calm, proactive, anticipatory problem-solver with strong emotional intelligence; performs well under pressure in fast-paced environments.
  • Preferred: experience with board/governance support, legal/contracts/compliance exposure, and cross-functional coordination; background in paralegal, HR administration, or operations a plus.
