Job Description
Financial Administration and Support:
Assist the finance department and president with budget planning, preparation, and monitoring expenditures.
Process accounts payable and accounts receivable, and prepare bank deposits and invoices.
Prepare the president's expense reports and manage corporate credit card issuance and reconciliation.
Support the accounting department with general entries, bank transfers, and reconciling accounts as needed.
Loan Operations Support:
Support commercial loan processing by assisting with the preparation and review of documentation and coordinating loan closings.
Perform bookkeeping and reconciliations related to loans, including calculating interest and fees, using financial software (e.g., QuickBooks).
Maintain accurate financial and legal document systems related to all contracts, agreements, and loan reports, ensuring compliance with regulations.
Analyze contracts to determine insurance or risk management requirements and coordinate necessary documentation.
Administrative and Operational Support:
Manage the president's complex calendar, prioritizing inquiries and resolving conflicts to ensure smooth day-to-day operations.
Serve as the primary liaison between the president and internal staff, clients, and external stakeholders, handling communications with discretion.
Coordinate travel arrangements, including accommodations, transportation, and itineraries.
Prepare and edit confidential reports, presentations (including investor and board materials), and correspondence on behalf of the president.
Develop and maintain efficient digital and physical filing systems for critical and confidential information.
Qualifications:
Proven experience in an executive assistant role, preferably supporting C-suite executives in a financial services environment.
Strong finance or lending background, including an understanding of loan structures, underwriting logic, and credit risk indicators.
Proficiency in financial software (e.g., QuickBooks) and expert-level Microsoft Office skills, especially Excel for financial analysis and modeling.
Exceptional organizational skills, attention to detail, and the ability to manage multiple priorities and deadlines.
High level of discretion and integrity in handling confidential and sensitive information.
Excellent written and verbal communication skills.
Fluent in English and Mandarin.
Pay: $60,000.00 - $120,000.00 per year
