Senior Logistics Executive
Job Summary
The Senior Logistics Executive is responsible for managing end-to-end logistics execution for international paper and pulp sea shipments, handling ocean freight negotiations and long-term contracts, timely vessel bookings, quarterly forecasting/planning and reporting to management, accurate documentation, and smooth coordination between shippers, consignees, forwarders, and internal teams. The role plays a critical part in maintaining delivery reliability, cash flow planning, and high customer-service standards across global trade operations. The role would involve working with contacts from multiple time zones.
Key Responsibilities
I. Freight & Shipment Execution
- Negotiate freight rates and shipment terms with shipping lines and freight forwarders for FOB and other applicable shipments.
- Arrange and confirm vessel bookings in line with mill readiness, customer delivery schedules, and contract terms.
- Forecasting freight movements over the next months/quarter and reporting forecasts to the management to plan shipments smoothly, avoiding severe freight rate fluctuations and ensuring the shipment is executed within planned costs.
- Monitor vessel cut-offs, sailing schedules, transshipments, and port congestion to avoid delays.
II. Supplier & Customer Coordination
- Coordinate closely with suppliers/exporters, freight vendors, forwarders and internal teams to ensure cargo readiness and shipments are aligned.
- Ensure all valid customer requirements (packing, palletization, marking, documentation, special handling, etc.) are incorporated into the Purchase Order or formally communicated in writing to suppliers and Logistics vendors.
- Proactively follow-up with all necessary parties to prevent documentation or loading discrepancies. Self-initiative of predicting and detecting possible mishaps or mistakes in the entire supply chain process is highly important for this role.
III. Shipment Tracking & Management Reporting
- Maintain a comprehensive master shipment tracker covering all orders, ETDs, ETAs, vessel details, BL status, and delivery milestones.
- Prepare and share weekly shipment status reports with the management, highlighting delays, exceptions, risks, and operational issues.
- Track pending shipments, rolled cargo, and critical deliveries to ensure proactive intervention.
IV. Documentation & Trade Compliance
- Coordinate preparation and review of shipping documents including Commercial Invoices, Packing Lists, Bills of Lading, Certificates, and any customer-specific documents.
- Ensure accuracy of weights, grades, quantities, mill references, and consignee details to avoid claims, penalties, or customs delays.
- Ensure compliance with international trade regulations, Incoterms, and internal SOPs.
V. Cash Flow & Freight Cost Control
- Maintain and update logistics-related cash flow requirements for freight payments planning.
- Negotiate better payment terms from freight forwarders and shipping lines.
- Coordinate with Finance for timely release of freight payments and origin charges.
- Monitor freight costs against budgets and negotiated rates to support margin control.
VI. Customer Service & Complaint Handling
- Receive logistics-related customer complaints and immediately coordinate with internal teams and freight forwarders.
- Identify and conduct a root-cause analysis for the source of complaint to derive and propose a solution to the complaint.
- Acknowledge complaints on the same day or latest by the next working day and proactively follow up on the status of corrective actions until closure.
- Support customer communication regarding shipment delays, changes, or force majeure situations.
VII. Process Improvement & Operational Excellence
- Support development and adherence to logistics SOPs and best practices for trading operations.
- Identify process gaps, recurring delays, and cost inefficiencies and recommend improvements to management.
- Maintain strong working relationships with suppliers, forwarders, shipping lines, and internal stakeholders.
Qualifications & Experience
- Bachelor’s degree in Logistics, Supply Chain Management, International Business, or related field.
- Minimum 5–8 years of experience in international logistics, preferably within paper trading, pulp & paper, or bulk commodity trading.
- Strong working knowledge of Incoterms (FCA, FOB, CFR, CIF, etc.), shipping documentation, and international trade flows.
- Strong experience handling forwarder negotiations, long-term freight contracts and multi-origin and multi-destination shipments.

Job Types: Full-time, Permanent
Pay: AED6,500.00 - AED7,000.00 per month
