Senior Operations Coordinator

Position Description



What you will do at Harris County Precinct 2
The Operations Coordinator will support the Deputy Chief of Operations in managing daily operations, ensuring efficient workflow, and meeting organizational goals. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.

Duties and Responsibilities:
  • Meeting Coordination:
    • Schedule, organize, and prepare materials for meetings, including agendas and minutes.
    • Follow up on action items and ensure timely completion.
  • Travel Management:
    • Arrange travel itineraries, accommodations, and transportation for the Deputy Chief of Operations, ensuring cost-effectiveness and compliance with company policies.
  • Project Support:
    • Assist with special projects and initiatives as assigned, providing research and administrative support.
    • Track and manage project deadlines, ensuring all deliverables are met on time.
    • Assist in prioritizing tasks based on urgency and importance.
    • Serve as a point of contact for internal and external communications.
    • Facilitate communication between departments and stakeholders.
  • Document Management:
    • Prepare, review, and distribute reports, presentations, and other documents as needed.
    • Maintain organized electronic and physical filing systems.
  • Event Planning:
    • Coordinate logistics for departmental events, workshops, and training sessions.

Requirements

Experience:
  • Two (2) or more years of experience in an operations or administrative support role.
  • Experience with Canva and/or presentation applications.
Knowledge, Skills, & Abilities:
  • Strong organizational and time management skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.

Preferences

Education:
  • Bachelor’s Degree in Business Administration, Operations Management, or a related field

General Information

Position Type and Typical Hours of Work:
  • Regular full-time position, requiring the employee to work 40 hours per week
  • This may include weekends and holidays.
Work Environment and Physical Demands:
  • This job operates remotely and office. Remotely consist of but not limited to meeting clients and partners at various location throughout the Precinct including Harris County Precinct 2 Community Centers and Annex. The office setting role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Noise level in the work environment is usually average.
  • Essential functions involve significant physical demands related to repeated lifting of up to 50 pounds unassisted, 100 pounds with assistance rarely; carrying tools, materials, and equipment over rough terrain; climbing, reaching and bending. Frequently to walk, sit, talk, drive, hear, bend, stoop, twist, and balance.

Employment may be contingent on passing a drug screen and meeting other standards.
