What you'll do:

As a Senior Project Support Officer you will play an integral role in supporting the successful delivery of a strategic initiative aimed at establishing minimum standards for educational infrastructure. Your day to day responsibilities will involve coordinating project activities across multiple workstreams while ensuring clear communication among stakeholders. You will be instrumental in preparing documentation that underpins key decisions and supports transparent reporting. By facilitating stakeholder engagement sessions and collating valuable feedback, you will help shape recommendations that drive positive change. Your ability to manage administrative tasks efficiently will contribute to smooth project operations while your commitment to quality assurance ensures outputs meet rigorous standards.   • Support the Project Manager in planning, scheduling, and tracking key milestones and deliverables throughout the preliminary phases of the initiative, ensuring all activities are well organised and efficiently executed.
  • Assist in preparing comprehensive project documentation including detailed work plans, progress reports, meeting notes, presentations, and other materials required for effective communication.
  • Coordinate inputs from various contributors and maintain accurate records for all deliverables, ensuring version control and consistency across project outputs.
  • Organise stakeholder engagement activities such as meetings, workshops, and briefings, preparing agendas, discussion notes, decision registers, and outcomes documentation to facilitate productive consultation.
  • Collate and analyse feedback from stakeholders to inform project findings and recommendations, ensuring that diverse perspectives are considered in decision making processes.
  • Liaise effectively with internal stakeholders to ensure communication materials are timely, accurate, and aligned with overall project objectives.
  • Assist in preparing regular progress updates and governance reports for senior leaders, maintaining risk and issues registers with up to date information on project status.
  • Support quality assurance processes by reviewing consultant and contractor deliverables for alignment with departmental expectations and templates.
  • Help manage dependencies between related initiatives to ensure seamless coordination across internal workstreams.
  • Provide administrative support including logistics coordination for meetings, workshops, procurement activities, contract administration processes, document management, consultant onboarding, and general day to day operations.

  • Demonstrated experience providing support on infrastructure projects within government or large organisations-ideally in education services, planning, architecture or policy related environments-showcasing your ability to navigate complex settings.
  • Exceptional organisational skills with meticulous attention to detail that enable you to manage multiple priorities simultaneously while meeting tight deadlines.
  • Excellent written and verbal communication abilities demonstrated through preparation of documents, collation of data, report writing, and effective interpersonal interactions.
  • Proven track record of collaborating within multidisciplinary teams where you engage constructively with colleagues from diverse backgrounds.
  • Sound understanding of project management principles coupled with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Project) enabling you to produce high quality outputs efficiently.
  • Experience coordinating stakeholder engagement activities including meetings, workshops or briefings where you prepare agendas and capture outcomes accurately.
  • Ability to maintain comprehensive records for deliverables using robust version control practices that ensure consistency across documentation.
  • Familiarity with governance processes such as risk register maintenance or progress reporting which supports transparency throughout the project lifecycle.
  • Experience supporting contract administration processes including document management or consultant coordination within procurement frameworks is highly desirable.
  • Qualifications in project management or related disciplines are advantageous but not mandatory; holding a QLD Blue Card is required for this position.
