We are looking for a Senior Receptionist to lead and manage our reception team, ensuring smooth operations, excellent client service, and efficient coordination in our busy veterinary clinic.
In this role, you will be responsible for overseeing all front desk activities, guiding your team, and ensuring that every client and pet receives the highest standard of care and professionalism.
Key ResponsibilitiesTeam Leadership & Management
- Lead, mentor, and supervise the reception team, ensuring tasks are completed efficiently and professionally.
- Oversee daily front desk operations and workflow, resolving challenges and guiding staff as needed.
- Train, schedule, and provide feedback to reception staff to maintain consistent high standards.
- Prepare and manage staff reception schedules to ensure full coverage and smooth operations.
- Act as the main point of contact for management, providing regular updates and feedback on front desk performance and improvements.
Client Service & Administration
- Welcome clients and their pets in a warm, professional, and organized manner.
- Manage appointments for consultations, surgeries, vaccinations, and other procedures.
- Handle phone calls, emails, and client inquiries with accuracy and professionalism.
- Supervise check-in and check-out procedures, billing, payments, and cash handling.
- Ensure consent forms, registration, and documentation are completed accurately.
Operations & Financial Management
- Oversee billing, invoicing, and payment processing for services, products, and medications.
- Reconcile daily sales, maintain accurate records, and generate reports on front desk performance.
- Monitor inventory of retail products and coordinate orders with suppliers.
- Assist management with reporting and process improvements.
Team & Clinic Support
- Coordinate with veterinarians, nurses, and other staff to ensure smooth service throughout the clinic.
- Provide guidance and training to team members on client interactions, product knowledge, and clinic procedures.
- Maintain the reception area, waiting room, and public spaces to a high standard of cleanliness and organization.
- Lead the team in responding calmly and efficiently during emergencies and urgent situations.
- Support the clinic’s mission of providing excellent care in an animal-related environment.
Qualifications & Skills
- Proven leadership experience, preferably in a veterinary or medical reception setting.
- Strong problem-solving skills with the ability to handle all reception operations independently.
- Excellent communication, multi-tasking, and client service skills.
- Professional, confident, and able to lead a team in a fast-paced and dynamic environment.
- Flexible with schedules and fully committed to completing assigned tasks and supporting the team when needed.
- Knowledge of appointment scheduling, billing, and front desk systems.
