Service Dispatcher & Office Administrator

Bell Electric is looking for a sharp, dependable Office Coordinator to keep our office running behind the scenes. This is a heads-down administrative role — no walk-ins, just focused, important work that keeps our electricians in the field and our customers happy.

This is a full-time position, Monday–Friday, 8:00 AM–4:30 PM, reporting directly to the owner.

What You'll Do

Answer incoming calls and handle customer communication professionally

Schedule and coordinate field technicians under the direction of the owner

Follow up on open estimates and outstanding invoices

Manage billing and assist with collections as needed

Fill out, submit, and file electrical permits accurately and on time

Maintain and update records in our CRM system (Housecall Pro)

Handle general office administrative tasks and keep things organized

What We're Looking For

2+ years of administrative or office coordinator experience

Comfortable working independently in a structured, task-driven environment

Experience with Housecall Pro or a similar field service CRM is a strong plus

Proficient in Microsoft Office (Outlook, Word, Excel)

Excellent phone manner and follow-through — you don't let things fall through the cracks

Detail-oriented, especially when handling permits and billing documents

Familiarity with the electrical or trades industry is a bonus, but not required

Valid Maine driver's license; must pass a background check

Pay: $40,000.00 - $55,000.00 per year
